Terms & conditions for online booking

Visit Tromsø-Region AS is responsible for forwarding your booking to the relevant supplier of the activity or accommodation. The supplier is responsible for delivering the product or supplying accommodation in line with your booking. We will ensure you receive information prior to departure, and will contact you in the event of significant changes to your booking.

Terms and conditions

The booking system can handle bookings for up to nine people. You can book evening activities up to three hours prior to departure, while most day or morning activities may be booked up to nine hours prior to departure. Your booking is confirmed when you receive a confirmation with a booking reference number. We recommend all our customers to print this confirmation and bring it on the tour. You need to be 18 years old in order to book through Visit Tromsø-Region AS.

Payment and security

The payment is processed when your booking is made. Visit Tromsø-Region AS is responsible for the actual transaction, and that the correct amount is withdrawn from your account. In the event of a problem with your credit card, we will contact you. If we are unable to get in contact with you, your booking will be cancelled. All personal information is handled on an encrypted site (SSL 128 bit) where your information is safe. Only Visit Tromsø-Region AS and the supplier of your product will have access to your name and contact information.

Cancellation/changes by you 

In order to cancel or change your booking, you need to contact Visit Tromsø-Region.

A full refund is provided for cancellations made up to seven days prior to departure on your tour.

A 70% refund is provided for cancellations made less than seven days but at least 24 hours before departure on your tour.

No refund will be provided for cancellations made less than 24 hours prior to the departure of your tour.

Cancellations are made by contacting Visit Tromsø by email: [email protected]. If the cancellation is made less than 48h before arrival, please contact the provider and Visit Tromsø.

Visit Tromsø has no control over the currency rate that will be calculated for refunds to credit cards and cannot take responsibility for any loss of funds.

A change from you is regarded as a cancellation. Some suppliers and partners operate with conditions in addition to those mentioned above. This applies particularly to the booking of airline tickets and hire cars. In such cases, the terms and conditions will be displayed at the time of booking.

Cancellation policy for bike rentals

- Cancellations received within 1 hour after making reservation or more than 60 days prior to the date of rental or activity: no charge
- Cancellations received within 31 - 59 days prior to the date of rental: 25% of the total rental price
- Cancellations received within 8 - 30 days prior to the date of rental: 50% of the total rental price
- Cancellations received less than 8 days prior to the date of rental: 100% of the total rental price

Insurance/cancellation protection

We recommend all our customers to ensure they have good insurances before commencing their trip in case of illness, lost luggage, accidents and similar incidents.

Our Sub-suppliers

We are responsible for ensuring that our sub-suppliers receive payment for the product you book via us. Our sub-suppliers are responsible for ensuring that every aspect of their programme, including complete insurance, permits, equipment, staff etc., is in accordance with the current laws and rules that may apply for the supplier.

Cancellations/major changes from our side

Cancellations or major changes may occur if:
- Conditions out of our control and the control of our sub-supplier, e.g. weather, accidents, strikes etc.
- Conditions for the booking are not met, e.g. minimum number of participants etc.

If this type of cancellation/major change occurs, and you do not accept the alternative provided to you, we will provide a 100% refund of the cost for that part of the booking. In order to ensure a good experience for you, we reserve the right to make minor adjustments due to weather, snow conditions etc.

Groups

Visit Tromsø-Region AS would be glad to assist you if you would like to book activities for a group. In such cases, please contact us by phone or e-mail.

Complaints

If you encounter errors or discrepancies along the way in relation to the travel documents you have received, and the problem cannot be corrected on the spot, please contact the supplier in writing as soon as possible. It is the supplier’s responsibility to ensure that safety and provision of the product is in line with the description.
